Essential Job Functions

ESSENTIAL JOB FUNCTIONS

The following duties are typical for this classification. Incumbents may not perform all of the listed duties and/or may be required to perform additional or different duties from those set forth below to address business needs and changing business practices.

• Performs administrative/secretarial duties for a department and/or program area; independently prepares correspondence and selected reports for review/signature and on behalf of administrative superior; independently prepares, reviews and checks documents, records, and forms for accuracy, completeness and conformance with applicable rules and regulations; prepares and/or assists in the preparation of notices ,applications, resolutions and other documents.
• Represents a department and/or program area to the public; receives and evaluates citizen complaints and initiates appropriate course of action; provides information to others requiring in-depth knowledge of work unit/department programs and operations; provides information to others requiring interpretation and/or enforcement of department and City policies.
• Maintains records of departmental expenditures; assists in preparation of department budget; reviews, prepares and may authorize purchase requisitions and payment of invoices; orders supplies and equipment; collects and compiles statistical, financial and other information for special or periodic reports.
• Assists in the operation of an office; maintains complex filing systems.


QUALIFICATION GUIDELINES

Education

Must be a current student in an undergraduate or graduate program or a recent graduate (with in the past year) in Public Administration, Public Policy, Business Administration, studies or a similar field.

Experience

None required. General office and customer service experience is desirable.

Knowledge Of

KNOWLEDGE, SKILLS & ABILITIES

• Knowledge of standard office practices and procedures.
• Principles and practices of public administration. and business administration.
• Organization and function of public local agencies, including the role of an elected City
• Council and appointed boards and commissions.
• Principles and practices of data collection and report preparation.
• Business letter writing and the standard format for reports and correspondence.
• Computer applications related to the work, including word processing, database, and spreadsheet applications.
• Basic principles and practices of record keeping.
• Techniques for providing a high level of customer service by effectively dealing with the public, vendors, contractors, and City staff.
• The structure and content of the English language, including the meaning and spelling of words, rules of composition, and grammar.
• Modern equipment and communication tools used for business functions and program, project, and task coordination, including computers and software programs relevant to work performed.


Ability to:

• Establish and maintain relationships with City Staff, and the Community.
• Collect and analyze data.
• Develop and implement program performance measures.
• Communicate effectively, both verbally and in writing.
• Use initiative, discretion, and judgment within established procedures, guidelines, and rules.

This is a temporary/seasonal part-time position. No benefits are associated with this posting. However, in accordance with State law, employees are provided sick leave that accrues at one hour for every 30 hours of work, with a maximum accrual of up to 40 hours per year.

Additionally, Part-Time, Seasonal, and Temporary positions are limited to 1000 hours per fiscal year (July 1 to June 30).
