Job Overview

We are seeking a motivated Projects and Grants Intern to assist our team in managing and supporting various projects in physical and technological security for multiple organizations. This internship offers hands-on experience in project coordination, vendor communication, and grant support. The ideal candidate is detail-oriented, eager to learn, and able to work in both office and field environments.

This position will work closely with and be directly supervised by a Senior Project Manager, who will provide ongoing training, mentorship, and guidance. No previous experience in security or grants is required, just a strong interest in project management and a willingness to learn.

Key Responsibilities

Field and Office Support:

• Accompany project managers to on-site meetings with vendors (e.g., door or camera installation contractors).
• Assist in documenting project progress by taking photos, notes, and status updates.
• Support in coordinating schedules between clients and vendors.


Project Coordination Assistance:

• Help prepare meeting agendas, track project milestones, and update project documentation.
• Communicate with vendors and clients to confirm details and timelines, under supervision.
• Support project managers with organizing files, updating spreadsheets, and maintaining project management tools.


Security Project Support:

• Assist in compiling and organizing lists of physical and technological security improvements (e.g., cameras, doors, access control).
• Participate in security audit walkthroughs to observe and document findings.


Grant and Documentation Support:

• Support the preparation of grant applications (e.g., NYS and FEMA grants) by organizing materials, collecting supporting documents, and drafting sections as directed.
• Help maintain compliance records, project logs, and other documentation as required.


Administrative and Communication Support:

• Draft and format project-related emails, reports, and presentations.
• Help organize meetings, take minutes, and follow up on action items.


Qualifications & Skills

Education: High School diploma or equivalent, either pursuing a college degree or college degree preferred.

Technical Proficiency: Familiarity with Microsoft PowerPoint and Excel (or Google Suite equivalents). Experience with project management tools is a plus.

Communication Skills: Strong written and verbal communication in English; able to communicate professionally with clients, vendors, and team members.

Organization & Detail Orientation: Excellent attention to detail and ability to manage multiple small tasks at once.

Eagerness to Learn: Interest in project management, operations, and grant processes, with a proactive approach to learning new skills.

Internship Details

Compensation: $16.50 per hour starting

Schedule: Monday to Friday, 9am to 6pm (with a 1-hour lunch break); flexibility for students may be considered

Location: On-site

Mentorship: Direct supervision and training from a Senior Project Manager
